Sample

Demonstration using synthetic data; not validated on customer data. Everything below was produced by our tool from made-up files. It is not from any customer and no real company or person is represented. Findings are items for professional review, not conclusions, and they come from fixed rules, not artificial intelligence.

Sample review report

This is the report a reviewer receives after a supervised run. The tables below are copied from the Excel workbooks the tool generated; you can download those workbooks.

Report 1: a general ledger (24 lines, reporting period 1 Jan to 31 Mar 2025)

What the tool checked

Checks performed and skipped for the synthetic ledger
CheckResultWhy
Identical rowsPerformed: no findingsRows identical in every column were grouped.
Missing valuesPerformed: no findingsColumns that are at least 90% filled were checked for blanks.
Negative amounts (credit notes)Skipped (not performed)Needs a single amount column (not a two-sided ledger or a running-balance register).
Unusually large amountsSkipped (not performed)Needs a single amount column and a vendor or customer column.
Same id under different namesSkipped (not performed)Needs an id column and a matching name column.
Unbalanced journal entriesPerformed: 1 finding(s)Debits and credits were added up for each entry number.
Possible duplicate postingsPerformed: 1 finding(s)Lines with the same date, account and amount under different entry numbers were grouped.
Postings outside the reporting periodPerformed: 1 finding(s)Every dated row was compared with 2025-01-01 to 2025-03-31.
Same invoice number entered more than onceSkipped (not performed)Needs an invoice or bill-number column and a vendor column; not both were found.

A check marked “Skipped (not performed)” did not run, usually because the file lacks a column it needs. That is different from “Performed: no findings”.

Findings

F01: Journal entries that do not balance Needs review

1 entry(ies) have debits that differ from credits: JE-1002: debits 1,250.00 vs credits 1,205.00

F02: Possible double posting Needs review

4 sets of lines have the same date, account and amount but different entry numbers. If one is a repeat, the account is overstated.

F03: Dates outside the reporting period Needs review

2 rows are dated outside 2025-01-01 to 2025-03-31. They may belong to another period.

Note on F02: the first pair (rows 6 to 9) looks like a real double posting. The second pair (rows 14 to 17) is two identical parking charges on the same day, which can be legitimate. The rule cannot tell them apart, which is why a person reviews every item.

Report 2: vendor bills (6 lines)

F01: Same invoice number entered more than once Needs review

1 invoice number(s) appear on more than one line for the same vendor with different details (date or amount). The same bill may have been paid twice.

Source file demo_ap_bills.csv, rows 3, 4.

The 4471 for Bayline Packaging (row 5) is a different vendor and is not flagged.

Limits of this sample

The reporting tool has been validated with synthetic accounting data only and has not yet been tested on a real customer file. It does not detect every possible accounting error and does not replace professional judgment. The workbook also contains a Limitations sheet. See the FAQ for the full list of known limits.
